Project Summary

Challenge

  1. There was no direct access to end-users to conduct standard user research. Instead, research had to rely on conversations with subject-matter-experts and stakeholders.  The initial input came in the form of a technical requirement list and background file, which lacked full clarity or context.  

  2. Multiple workshops were required to tease out the true problem space and to co-define the business + technical capabilities such that a workable requirements list could evolve.  The deliverable had to support end-to-end user flows: uploading data files, reviewing data-reports online, and enabling users to save or reference existing records.  

Objective

  1. To translate technical requirements and stakeholder input into a usable, streamlined tool that allows users to upload report-files (or pre-filled templates), review data, and access historical records.  

  2. To create user flows + wireframes that accommodate file upload, data review, error feedback, and history/records browsing, in collaboration with both business and technical teams.  

  3. To deliver a full UX/UI solution in about 3 months, using tools like Sketch and InVision.

Research and
Analyzing Requirements

I had no access to users to conduct research. In the absence of end-users, I spoke with Subject Matter Experts and Stakeholders. I was handed a file with background information and technical needs as a requirement list. However, after several workshops to understand the challenge and technical capabilities, I was able help the team create an appropriate list of requirements that helped me and the technical team design and develop the tool.

I also conducted a comparative analysis on websites where users upload files and review its data online such as tax helper tools.

The workshops and research resulted in the creation of user flows and an initial wireframe that evolved through multiple review sessions with the business and technical teams.

End to end user experience

Simplest manual upload method

Users may access data saved in our records to use a report file with pre-filled data for faster completion and upload.

Wireframing and Prototyping

After finalizing the project needs with the stakeholders and creating user flows, I implemented the requirements into tangible prototypes. I started with sketches of multiple design options on the board and then transferred them to Sketch for design review.

Stakeholders Feedback

I conducted 5 review sessions with business and technical team to clarify any open questions or address any concerns with the wires. As an outcome, I noted all the current and future edits needed in the wires and then prioritized them with the stakeholders.

Redefined Hi-Prototype

Working with a Visual Designer, we were able to convert my prototype into hi-fi mocks and annotate the details of the design.

Next Phase

Provide the capability to edit data of the file and tag other people in the online interface for faster submissions.

Create a user-friendly mobile experience.

Provide an administrator view where users can see reports of all the employees in one company and comment on reports.

Provide scores of the reports on the tool to prevent the user from having to go to a different platform to find the information.
